SCITUATE COUNCIL ON AGING
BOARD OF DIRECTORS MEETING
MINUTES FROM SEPTEMBER, 10, 2008


Attendees: Pam Davis-Chairman, Jim Harmon-Vice Chariman Rocky Carrabes, Brendan Lynch, Meg Stillman, Joan Powers, Joan Paley, Maura McMann, Florence Choate-COA Director, Shawn Harris-Liaison Board of Selectman.

1. The meeting was called to order at 6:05PM. The new format for public comment was announced. Comments and questions will be held until the director’s reports are given and then after old and new business.

No one would volunteer for position of Clerk.

2. Minutes of August meeting were approved with corrections.

3. Director’s reports were given. (see copies attached). Additional notes:
The town accepted the check for the new van. The title is held up because the original was tampered with, delaying the sale of the old van. The Foxwood’s trip was cancelled . We still need more volunteer drivers. Boston represents 30% of the medical rides. Meg will send an email to her database asking for volunteer drivers. We have $3885 left in the fuel budget.
The first estimate came from Frank Evans Windows for $7565.00.

4. Old Business
Joan Paley: We are still gathering information pertaining to possible remodeling of existing building. We are awaiting estimate from Otis Elevator. Asbestos removal and disposal will be $4200. Joan will try to have Mike McGowan at the next meeting to discuss structural issues.

Jim Harmon/Brendan Lynch: We want to continue pursuit of the $1.9M. We don’t have a response from bond council on the vote at town meeting that they believe negated the $1.9M. We will look at pre-fab construction, modular units and steel buildings. Rocky Carrabes brought up that the Branch St. building was going to be a community and senior center and we should continue along those lines. The board will continue to look at all options and both remodeling and new construction.

5. New Business:
Rocky Carrabes: The window estimate was for 16 double pane windows. Rocky will pursue additional . According to Florence there’s only $10.5K in the budget. She is still considering constructing a conference room for counseling issues requiring privacy, estimated at $5K. Jim and Brendan will repair the disconnected gutter in the front of the center

“Senior Happenings”, submitted by Marguerite Lee, was chosen as the new name for the newsletter. She’ll receive 2 gift certificates from Satuit Tavern.

6. SSA update:
There will be a light lunch reception on Saturday, November 8th at 1PM to honor all the volunteers and the COA Board of Directors. Location to be announced.

This month, Outreach has received many calls and requests for assistance from seniors and others renewing their fuel assistance benefits. This is not a necessary step, as all fuel assistance renewals can be done through the mail. Many recipients, most often seniors, would rather get help from Outreach to assure that they are providing the correct documents

Programs for: August, 2008
August 11, 2008
The programs are gearing up for fall and winter.
We will be trying Nia again this fall. It begins this month on Wednesdays in the evening at 7:30pm. If it conflicts with the Board meetings it will be held at 8:00pm on the Board nights.

Chris’s cardio begins on September 23rd.
Yoga remains the same. It is held on Wednesdays from 9:00am to 10:30am.

TaiChi has a few new members Tony is at the same time each week, Thursdays @9:00am

Arthritis Exercise starts fall schedule on the 22nd and 25th.

Bridge continues with two tables on Monday and Tuesdays.

Knitting continues to be hugely popular on Thursdays @ 1:30pm

Art and Quilting will resume in October, and the Memoir writing class will begin October 1st. We are still looking for a poker teacher
Outside Programs continue with Badminton @ Jenkins School, Wednesdays from 6:00 to 8:00pm.
Softball is still being held outside with the senior tournament commencing on the 21st.
Senior golf @ Widow’s Walk continues, as does Scrabble at Central.

We are trying to resume Senior Drop in at the Center. We thought about Wednesdays, but the Methodist Church is having programs twice a month on Wednesday, and we don’t want to interfere with that. Mondays may be the day, as we only have Bridge and could use the curtain to separate, or work with the Church and have them every other week. We plan to have it ironed out for October.

Director’s Report for August, 2008


August 29th marked the end of our Thursday luncheons. We ended up this summer’s feasts with a superb Italian dinner, pasta and meatballs cooked by our expert Chef Carrabes. To that we added salad and Italian bread and those special deserts we served were from our wonderful neighbors at Arrow wood drive (thanks to Meg Stillman). As usual, we were filled to capacity. The seniors ate while listening to music provided by the very talented Norman Paley (thanks Norm), we are working on purchasing a microphone for future programs. We are planning a Halloween part on October29th.

The trip to Rockport was a success with 54 seniors attending. The Cape Scallop Festival is also a go. We are expecting 42 seniors on that trip which is pretty good considering it is on a Sunday. The Foxwoods trip is also a go, but we are only expecting 23 seniors to participate. The cost of the trip @ $35.00 allows us to break even. The assistance of
Carolyn Sachs our able volunteer has certainly made my life easier, thanks Carolyn. Thanks as well, to our Board members who helped with summer luncheons, Audrey Reidy and our great staff for making the summer program a success. Thursday Lunch resumes at the Congregational Church on September 11th.

We have gotten all the bids for the new van and New England Wheels came in with the best package. They are also trying to sell our old 99 van for $1,000.00 We are so excited about the prospect of a new van and are so appreciative to SSA for their gift. If all goes well we should have the van on the road within a month. We are looking at running the Medical Connection twice a week, Tuesdays and Thursdays to cut down on the cost of
the Link. I met with Rick Agnew about the expected short fall in that program and he promised an additional $10,000 for the program. That will give us just under $20,000 to run the program from September through June and we are determined to hold the monthly cost to $1,800.00 a month. The extension of the Medical Connection program to two days a week should help. We will be asking a $6.00 fee for the ride on the Link. This will help just a little to defray cost. A trip to Boston costs us $84.00 for each rider. It goes without saying that if a senior can not pay they will not be charged.

Rocky Carrabes and Frank Evans of Harvey’s windows came by the center to look at our windows and give us a quote. I have enclosed a copy in each of your packages. There is also a letter to the Sheriff’s office asking about their time table on the painting. I have contacted Frank Hynes’s office and I am going to call Hedlund to see if they can help.
